Legal Administrative Assistant

  • Performs specialized legal administrative duties including type letters, memos, memorandums of law, legal complaints, pleadings, documents and perform other clerical duties such as scheduling appointments, providing information to callers, taking dictation, composing and typing routine correspondence, and reading and routing incoming mail.
  • Assemble and file legal pleadings, briefs and exhibits with court clerk in Tribal, Federal, and State courts.
  • Communicates with Tribal, Federal, and State executive, legislative judicial and administrative agencies on behalf of the Tribal Attorneys.
  • Monitors changes to government guidelines, ordinances, resolutions, and regulations and submit report or pertinent changes.
  • Performs routine legal research and compiles data from references.
  • Prepare drafts of correspondence and documents and maintains document and pleading files.
  • Proof-reads documents as requested.
  • Prepares and maintains office billing and payment accounts.
  • Maintains law library and monitors scheduled updates of legal volumes.
  • Ensures proper indexing and filing of original legal documents.
  • Files memorandums, correspondence, legal documents, etc., in office filing system and indexes all on-going and completed cases.
  • Maintains online case management system.
  • Schedules appointments and manages and updates attorney appointment calendar in Microsoft Outlook.
  • Routes articles to lawyers and other governmental officials.
  • Electronic filing, search, and retrieval of pleadings filed in Federal court.
  • Management of multi-line phone system and routes incoming phone calls.
  • Creation of .pdf documents and email to attorneys and tribal officials.
  • Greet visitors and determines who visitor should meet with to resolve problem.
  • Organizes and prepares mass mailings.
  • Coordinates and makes travel arrangements for attorneys and tribal officials.
  • Orders supplies.
  • Signs confidentiality agreement. Maintains strict confidentiality of all office matters.
  • Assists Administrative Specialist for the President with documents presented to the Tribal Council.
  • Other job duties as assigned by supervisor.
